VenueCue™ Privacy Policy

VenueCue, operated by Hidden Grove Entertainment, is an event companion app for DJs and KJs. This policy explains what information VenueCue handles, how it's used, and the choices you have. It's written for two audiences: the DJs/KJs who run events on VenueCue, and the guests who send requests at those events.
1. Who this covers
- Account holders — the DJs/KJs who sign up and run events.
- Guests — dancers and singers who submit requests from their phone, a venue kiosk, or the DJ booth. Guests do not create accounts.
2. Information we collect
From account holders: your name/display name, email address, a securely hashed password, your business and venue details (including venue address), event details, and any fee amounts or notes you choose to enter.
From guests:
- A name or initials you provide with a request. For most events this is optional; for karaoke it is required, because the name is how the KJ calls singers up (and it is shown on the display).
- The request itself (the dance or song) and the time it was sent.
- A random identifier stored in your browser to help enforce request limits during an event. This identifier is generated by VenueCue, is not linked to your identity, and can be cleared at any time by deleting your browser's site data.
3. What VenueCue does not collect
- VenueCue does not collect or store payment card information. VenueCue does not process card payments today, and no card numbers are entered into or stored by the app.
- VenueCue does not listen to or record audio during events. VenueCue manages requests, lists, and displays — it never accesses your microphone or records sound.
- We do not collect guests' email addresses, phone numbers, or precise location.
- We do not build profiles of guests or track guests from one event to the next.
4. How we use information
- To run the event: route requests, manage the queue, show what's playing/up next on displays, and keep a played history for the DJ.
- To give the DJ their own records (event history, receipts) and aggregate popularity insights (which dances/songs are popular) — these aggregates do not identify individual guests.
- To keep the service secure (sign-in, and limiting abuse/spam requests).
We do not sell personal information or use it for third-party advertising.
5. Names shown on venue displays
VenueCue can display request and singer names on the venue's display screens during an event as part of the normal operation of the event. For karaoke events, a singer's display name is used so they know when it is their turn to perform. Before submitting a request, guests are informed that the name they enter may be displayed publicly within the venue during the event.
6. Information stored on your device during an event
During an event, VenueCue may temporarily store event information locally on the DJ's device so the event can continue during a short internet interruption. This locally stored information is synchronized back to VenueCue when connectivity returns. It lives in the DJ's own browser and can be cleared by signing out or clearing the browser's site data.
7. Sharing
- Venue displays intentionally show the names described in §5, in the venue, during the event.
- Public request and display links are unguessable per-event web addresses — treat a link like a key to that one event, and share it only with the people you want requesting.
- We use service providers only to host and operate VenueCue. We don't share personal information with anyone else except where the law requires it.
8. Data retention
- Guest and singer names attached to requests: kept up to 90 days after the event, then removed or anonymized.
- Request/event history (with names removed): retained to provide the DJ's event history and popularity insights.
- Kiosk sessions: removed within 30 days of the event, or when the session ends.
- Server logs: kept for about 90 days for security and troubleshooting.
- Account data (your profile, venues, events): kept while your account is active, and deleted within 30 days after you close your account.
9. What VenueCue doesn't do
VenueCue is an event-workflow tool, not a media service. VenueCue does not:
- Stream or host music.
- Host karaoke tracks.
- Display copyrighted lyrics.
- Sell user data.
- Create marketing profiles of guests.
- Track guests across events.
10. Your choices and rights
- Guests: you can ask the DJ to remove your request at the event. For non-karaoke events a name is optional, so you may also leave it blank or use initials; for karaoke a name is required and shown.
- Account holders: view and edit your information in the app, and request a copy or deletion of your account and its associated data.
- We honor data-access and deletion requests within a reasonable time, subject to any retention the law requires.
11. Security
Passwords are stored only as secure hashes. Signed-in sessions use secure, HttpOnly cookies over HTTPS, and changes are protected against cross-site request forgery. Administrative access supports account lockout and optional two-factor authentication. No online service is perfectly secure, but we work to protect your information and encourage you to report any concerns.
12. Children
VenueCue is intended for DJs/KJs running events and is not directed at children under 13. We do not knowingly collect their personal information.
